GreenSource Environmental Professionals, Inc., the leading consulting firm in the environmental permitting and ecosystem restoration industry, is seeking a detail-oriented and highly motivated Project Coordinator to join our team. The Project Coordinator will play a critical role across multiple projects with several Project Managers, providing administrative, operational, and coordination support. This role ensures that project teams operate timely and efficiently, project data is clean and accurate, and project management standards and processes are consistently documented and applied. The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced environment supporting multiple stakeholders. You will collaborate with a wide range of stakeholders, including client teams, engineers, surveyors, attorneys, subcontractors, governmental regulators, and office account management.
Key Responsibilities:
On a daily, real-time basis, track project status, maintain project calendars, monitor all project emails, and proactively communicate issues that may arise associated with meeting project timelines and deliverables.
Coordinate and facilitate travel arrangements and logistics for project-related workshops, meetings, and site visits, ensuring all stakeholders are informed and supported throughout the process.
Assist the Project Managers in planning, scheduling, and executing permitting and construction projects from start to finish.
Collaborate with engineers, contractors, and other stakeholders to ensure seamless communication and project alignment.
Monitor project progress, track milestones, and report on key performance indicators.
Maintain project documentation, including contracts, change orders, budgets, and schedules.
Help manage project budgets and resources, ensuring cost-efficiency and control.
Foster positive relationships with clients, subcontractors, and vendors.
Develop and maintain an organized system for tracking, monitoring, and prioritizing project schedules, timelines, and milestones. Track action items and ensure prompt follow up/follow through until action items are resolved.
Identify opportunities to enhance project administration workflows and propose solutions.
Provide support to the team including scheduling project meetings, preparing agendas, documenting meeting notes, coordinating contract execution, and creating, reviewing, and/or disseminating deliverables.
Support tracking of budgets, expenses, and project costs.
Prepare status reports for team and leadership review upon request.
Maintain project documentation (contracts, meeting minutes, deliverables), keep files organized, and suggest improvements to existing workflows, templates, infrastructure, and other areas as needed.

Requirements
Minimum Qualifications:
Proficiency with project tracking and budgeting in Microsoft Project, Microsoft Excel, and Smartsheet required. Proficiency with other project management software helpful.
1–5 years of experience in project management/coordination or a similar role.
Excellent communication and interpersonal skills.
Strong problem-solving and decision-making abilities.
Ability to work effectively under pressure and meet deadlines.
Ability to adapt to changes in a fast-paced environment.
Ability to independently organize, multi-task, and prioritize work.
Experience with project management tools/enterprise software systems.
Experience with budget tracking and reporting.
Preferred Qualifications:
Bachelor’s degree in construction management, Business Administration, Project Management or a related field.
Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) certification.
