JOB TITLE: Sports Coordinator FLSA Status: Exempt
General Statement of Duties: Performs a variety of duties associated with the operation and management of youth and adult sports programs and leagues. This position is responsible for ensuring that assigned sports programs and leagues are supervised in HRCA and outside facilities according to organizational policies and procedures. This position works with sports and facility team members as well as community providers.
Supervision Received: Works under the supervision of the Sports Supervisor.
Supervision Exercised: Responsible for the supervision of assigned full-time staff, part-time staff, volunteers and interns.
JOB DESCRIPTION:
Examples of Duties: The following examples of duties are intended to be illustrative only and are not intended to be all inclusive.
- Defines, develops, and implements sports league registration, scheduling and supervision in line with HRCA mission and values, the governing documents of the HRCA and recreation program guidelines.
- Ensures that programs and procedures are in compliance through ongoing evaluation of program areas and service delivery. Consults with appropriate staff, advisory groups, and public resources for ideas and suggestions.
- Develops training processes specific to sports leagues, camps and programs to supplement the HRCA new employee orientation process. Provides sports specific training to all new sports employees. Ensures that all staff providing gym/field supervision and sports instruction are properly trained and equipped.
- Assists in maintaining and monitoring contracts for sports programs, camps and leagues. Ensures that all contract information is current and that deadlines are met for payment and development of contracts.
- Monitors and manages the condition/use of equipment and storage areas. Follows all safety guidelines and ensures that part-time staff does as well.
- Implements a customer service model for sports that enhances positive communication and support for all customers, both internal and external. Maintains a positive approach and role models professionalism in attire and presentation style.
- Works with other departments and services to coordinate information and services in all recreation centers. Assists other program and facility supervision areas as needed. Maintains a presence in the sports leagues that provides part-time employees with ongoing opportunities to interact with their supervisor. Will assume league supervision responsibility for sports leagues, programs and camps, as needed, in the absence of regularly scheduled staff.
- Ensures that all volunteers in HRCA sports leagues, programs and camps complete the process established by the HRCA regarding the application process. Maintains data to reflect the accomplishment of this expectation.
- Supervises and evaluates staff and volunteers within assigned program area; develops job standards and expectations for part-time employees that incorporate safety and sportsmanship in the performance of duties. Ensures that all staff providing gym/field supervision are properly trained and equipped.
- Completes payroll for assigned staff according to set procedures.
- Develops assigned sections of the HRCA recreation activity guide ensuring that assigned sports programs and leagues are planned and coordinated with attention to detail and adherence to financial boundaries and established deadlines. Promotes assigned programs according to established procedures.
- Performs related duties as assigned and required.
Physical and Environmental Standards: Most work is performed indoors in a busy office where noise and interruptions prevail. Must be able to frequently sit and occasionally walk, stand, climb, bend, kneel, stoop, reach and lift, push or pull. Manual dexterity is needed to type, write, use a calculator, and answer the phone. The ability to talk and hear via the telephone and through face-to-face communication is needed. Vision requirements include near and far acuity. Upper body strength is a requisite to lift/move a maximum of 40 pounds unassisted and 60 pounds with assistance. Certain programs will be performed outdoors in varying temperatures and climates and other environmental factors, including, but not limited to heat, humidity, sun, wind, rain, cold, ice and snow.

QUALIFICATIONS:
Required Knowledge, Skills & Abilities: Knowledge of the process for managing recreational sports programs, leagues and tournaments for youth and adults. Must have management knowledge in planning, organizing, directing and controlling resources to meet business directives. Ability to supervise and provide effective support for staff members and contractors, as well as volunteers and interns. Ability to organize, manage and direct multiple divisions and perform multiple tasks. Computer literate. Ability to effectively communicate, both verbal and written, with internal and external customers. Has the ability to work flexible hours and days including day, evening, weekend, and holiday work.
Must be able to travel between all (4) facilities. Must possess a valid driver’s license, a clean motor vehicle record, and meet all HRCA driving policy standards, including pre-approval to drive from the HRCA insurance carrier. Strong situational awareness and adherence to safe driving practices are essential to ensure personal and public safety while working within a vehicle.
Must pass a pre-employment background check and drug screening.

Education: Bachelor’s Degree in Recreation or Sports Administration or related field.
Experience: Minimum of two years sports/athletic coordination experience including one year in a supervisory role directly related to sports. Experience must include financial management and business development. An equivalent combination of education and experience that demonstrates required knowledge, skills and abilities may be considered.
