Job Summary
The Senior Manager of Event Operations is a key leadership role responsible for overseeing all aspects of event execution, from planning and resource allocation to quality assurance and team development. This position ensures efficient operations, maintains high standards of product care and safety, and drives continuous improvement in service delivery. Reporting to the CEO, the Senior Manager will lead a team of operations managers and delivery leads, delivery teams, and maintenance technicians to support the company's growth and client satisfaction goals.
Key Responsibilities
Overall Event Operations: Lead the end-to-end management of event operations, including coordination of setup, execution, and teardown for all rentals. Ensure operational processes are streamlined, scalable, and aligned with company objectives to handle high-volume events efficiently. Ensure compliance with health, safety, and environmental regulations (e.g., OSHA standards for equipment handling and site setups). Develop and enforce safety protocols, conduct regular audits, and manage incident reporting to minimize risks.
Schedule & Resource Planning: Develop and manage comprehensive schedules for events, staff, and resources. Optimize workforce allocation, inventory usage, and timelines to minimize downtime, reduce costs, and maximize utilization rates. Leverage technology tools (e.g., inventory tracking software, CRM systems, or AI-driven scheduling) to optimize processes and drive innovation in event delivery.
Product Care: Oversee the maintenance, cleaning, storage, and repair of rental inventory (e.g., tents, furniture, lighting, and decor). Implement preventive maintenance programs to extend product lifespan and ensure items are event-ready at all times. Promote sustainable practices, such as eco-friendly product maintenance and waste reduction, to align with client preferences and industry trends.
Fabrication: Manage in-house fabrication processes for custom event elements, including design collaboration, material sourcing, and production oversight. Ensure fabricated items meet quality standards, safety regulations, and client specifications.
Special & Technical Projects: Lead the planning and execution of complex or custom projects, such as large-scale installations or technically demanding setups (e.g., AV systems, rigging). Coordinate with cross-functional teams to innovate solutions and deliver unique client experiences.
Fleet Management: Supervise the company's vehicle fleet, including maintenance schedules, compliance with transportation regulations, fuel efficiency, and driver assignments. Ensure safe, timely, and cost-effective transport of equipment to and from event sites.
Training: Design and implement training programs for operations staff on safety protocols, equipment handling, customer service, and best practices. Foster a culture of continuous learning to enhance team skills and performance.
Quality Assurance (Event Deliveries - Client Satisfaction): Establish and monitor quality control measures for event deliveries, including on-time performance, setup accuracy, and post-event feedback. Drive initiatives to improve client satisfaction scores and resolve issues proactively.
Additional duties may include:
Managing operational budgets, including cost forecasting for resources, maintenance, and projects. Identify cost-saving opportunities, negotiate with vendors, and track expenses to improve profitability.
Coordinating with external vendors, suppliers, and subcontractors for equipment sourcing, repairs, or specialized services. Build and maintain relationships to ensure reliable, cost-effective partnerships.
Developing contingency plans for operational disruptions and leading crisis response during events to ensure minimal impact on client satisfaction.
Qualifications and Requirements
Bachelor's degree in Business Administration, Event Management, Logistics, or a related field (or equivalent experience).
7+ years of experience in event operations, logistics, or rental management, with at least 3 years in a senior leadership role.
Proven track record in managing teams in a fast-paced, service-oriented environment.
Strong knowledge of event industry standards, safety regulations (e.g., OSHA), and inventory management systems.
Proficiency in software tools such as event management platforms (e.g., Rental Management Software), Microsoft Office Suite, and scheduling tools.
Valid driver's license and ability to travel to event sites as needed.
Excellent communication, problem-solving, organizational, and adaptability skills, with the ability to thrive during seasonal peaks.
Ability to work flexible hours, including evenings, weekends, and holidays during peak seasons.
Preferred Skills
Experience with fabrication tools and techniques (e.g., woodworking, welding).
Familiarity with fleet management software and GPS tracking.
Certification in project management (e.g., PMP) or event planning (e.g., CMP).
Strong analytical skills for data-driven decision-making.
Experience with event-specific software (e.g., Flex Rental or Goodshuffle).
Leadership style that emphasizes teamwork, accountability, and innovation.
